GENERAL POLICY
War Fox Coffee Co is committed to customer satisfaction. This policy explains returns, exchanges, refunds, shipping, and related terms for purchases made through our online store. In‑store/cafe purchases follow our in‑person policy available at the point of sale.
ORDER PROCESSING & SHIPPING

Processing time: Orders typically process within 1–2 business days (Mon–Fri, excluding holidays). We begin preparing orders quickly; changes or cancellations may not be possible once an order is placed.

Shipping methods & timing: Standard shipping usually arrives in 3–7 business days after shipment. Expedited options may be available at checkout. Delivery timelines are estimates and can vary due to carrier delays, weather, and peak seasons.

Tracking: You’ll receive a shipping confirmation with tracking when your order ships.

Address accuracy: Please confirm your shipping address at checkout. We’re not responsible for orders shipped to addresses entered incorrectly. Once shipped, we cannot reroute packages.

Undeliverable/return-to-sender: If a package is returned to us as undeliverable, we can reship to an updated address (additional shipping may apply) or issue a refund minus original shipping costs.

Risk of loss: Risk of loss passes upon delivery to the shipping address provided. We are not responsible for theft or loss after a carrier marks an order as delivered, but we’ll help you file a carrier claim.
RETURNS OVERVIEW (ONLINE ORDERS)

Return window starts on the delivery date (as shown by the carrier).

Most new, unopened items may be returned within 14 days of delivery.

Consumable/perishable goods (including coffee) are eligible for return/refund only if unopened, sealed, and unused; otherwise they are non-returnable once delivered except in cases of damage, defect, or incorrect item shipped.

Coffee beans/grounds must be unopened, sealed, unused, and returned within 14 days of delivery.

To start a return, contact our support team with your order number within the applicable window to receive a Return Merchandise Authorization (RMA) and return instructions (including a prepaid label option when applicable).

Once your RMA is approved, ship the item(s) back within 14 days.
COFFEE PRODUCTS (ONLINE)
Fresh Coffee Beans & Ground Coffee

Eligibility: Only if the product is defective, stale, damaged in transit, incorrect item shipped, or not as described

Remedy: Replacement or store credit after review

Requirements: Order number, photos, lot/date codes when available. For damaged-in-transit claims, photos must be provided within 72 hours of delivery.

Non-Returnable: Coffee and other consumable/perishable goods are non-returnable once delivered if opened, unsealed, or used, except as noted above.
Ready-to-Drink & Perishable Items

Policy: Consumable/perishable goods (e.g., items requiring refrigeration or with short shelf life) are eligible for return/refund only if unopened, sealed, and unused and requested within 14 days of delivery. Once delivered, they are non-returnable if opened, unsealed, or used, except in cases of damage, defect, or incorrect item shipped.

Timeframe: For damage, defect, or incorrect item shipped, report within 48 hours of delivery and provide photos of the product and packaging within 72 hours of delivery

GIFT CARDS

Gift cards (digital) are non-refundable and cannot be returned

Gift cards do not expire

Lost or stolen gift cards cannot be replaced
RETURN SHIPPING, FEES & PROMOTIONS

Return shipping: War Fox Coffee Co covers return shipping for incorrect, defective, or damaged-in-transit items. Customers are responsible for return shipping for buyer’s remorse (e.g., ordered the wrong item/size/flavor) or other non-defective returns.

Prepaid labels: We can provide a prepaid return label upon request; if the return is not due to our error/defect, the label cost will be deducted from your refund.

Original shipping: Original shipping charges are non-refundable unless we made an error or the item is defective.

Free shipping adjustments: If a return reduces your order below a free-shipping threshold, we may deduct our original shipping cost from the refund.

Bundles/promotions: Returning part of a bundle or promo may reduce or remove the discount. Any adjustment will be reflected in the refund.

HEALTH & SAFETY
For health and safety reasons, we cannot accept returns of opened consumable products unless there is a verified quality issue, defect, damage in transit, contamination, or an incorrect item was shipped.
